Office Manager Internship
We are looking for an Office Management Intern to support the smooth daily operations of our office. The role includes administrative tasks, facility management, event coordination, and supplier communication. This is a paid internship with the possibility of full-time employment.
Essential functions
Working hours in the office from Monday till Friday from 10am till 4pm.
Answer and direct phone calls.
Welcoming all office visitors.
Maintain the facilities day-to-day operations (processing mail, providing shipping support, etc.)
Manage office facility and communication with the Landlord.
Communication & negotiation with suppliers in a procurement process (snacks, furniture, services, office equipment, etc.).
Conduct market research when needed, analyse diferent services needed for the office, collect proposals, prepare presentations and provide to Senior management for further decisions.
Communication with suppliers for the organization of delivery of ordered products/services.
Preparation of documents necessary for the accounting agency (invoices, contracts, etc.).
Sending invoices for payment.
Assist other departments administratively on an as-needed basis (HR administration, finance, marketing, etc.).
Providing support in the process of private health insurance.
Providing support in the organization of corporate events (internal and external).
Organising transportation for employees & colleagues from other locations.
Work closely with the Headquarters team.
Prepare reports on different events when needed.
Other duties as assigned.
Qualifications
Ongoing university degree or Bachelor's degree in Psychology, Human Resources, or a related field.
Good communication skills in English (minimum B2 level proficiency).
The ability to create and manage successful processes and special projects.
Exceptional organizational skills and attention to detail.
Proficiency in MS Office.
Would be a plus
Strong organizational and planning skills in a fast-paced environment.
Knowledge of supplies, equipment, and/or services ordering and inventory control.
