R&D Account Assistant
We are looking for a highly organized, proactive, and detail-oriented Assistant to support our growing R&D Department in a dynamic software services company. This role is ideal for someone who thrives in a fast-paced, tech-driven environment and is eager to take ownership of varied support tasks across operational, analytical, and documentation functions.
Essential functions
Prepare, validate, and format reports, dashboards, presentations, and other data deliverables in line with R&D and corporate standards.
Handle ad-hoc requests including information gathering, data research, and basic analysis.
Organize and maintain internal documentation (e.g., meeting minutes, status reports, project charters).
Track and update project progress in JIRA; follow up on assigned tasks and timelines.
Assist in the onboarding process for new R&D team members by preparing documentation, coordinating access, and ensuring smooth integration.
Create and maintain technical documentation and user manuals for R&D accelerators, tools, and prototypes.
Record and edit demo videos or training guides for tools developed by the R&D organization.
Design visually engaging slides and content for internal presentations, demos, and regular leadership updates.
Prepare requirements and change requests for BI dashboards (e.g., Superset, PowerBI) to ensure accurate and comprehensive analytics across R&D operations.
Support implementation and continuous improvement of internal policies and procedures within the R&D Department.
Structure, update, and manage Confluence spaces to ensure easy access to accurate, up-to-date knowledge.
Oversee internal governance processes such as issue tracking, project creation, and resource allocation in tools like OpenAir.
Collaborate cross-functionally with engineering, product, operations, and HR teams as needed.
Monitor existing operational workflows, flag process inefficiencies, and propose optimizations as the department grows.
Provide general administrative support to the Head of R&D and team leads as required.
Qualifications
Proactive and initiative-driven approach to task management and problem-solving.
Proficiency with Google Sheets or Excel, including use of formulas, scripts, and automation features.Upper-intermediate or higher level of English (written and spoken).
Strong organizational skills; able to prioritize, multitask, and meet deadlines.
Comfortable working in a fast-paced, evolving environment.
Ability to handle confidential and sensitive information with discretion.
High attention to detail and accuracy, particularly with numbers and documentation.
Strong interpersonal skills with the ability to work effectively with stakeholders at all levels.
Excellent verbal and written communication skills.
Previous experience supporting IT, product, or R&D teams is highly desirable.
Familiarity with tools such as JIRA, Confluence, Google Workspace, and BI platforms (e.g., Superset, Power BI) is a plus.
Would be a plus
Experience with basic video editing tools (for demos/tutorials).
Familiarity with OpenAir, GitHub, GCP, AWS or similar platforms used in software development.
Understanding of agile methodologies and R&D lifecycle processes.
