Office manager duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees.

This is an entry-level position, also suitable for students as a part-time internship.

Essential functions

  • Answer and direct phone calls.

  • Welcoming all office visitors.

  • Maintain the facilities day-to-day operations (processing mail,
    providing shipping support, etc.)

  • Manage office facility and communication with the Landlord.

  • Communication & negotiation with suppliers in a procurement
    process (snacks, furniture, services, office equipment, etc.).

  • Conduct market research when needed, analyze different services
    needed for the Office, collect proposals, prepare presentations and
    provide to Senior management for further decisions.

  • Communication with suppliers for the organization of delivery of
    ordered products/services.

  • Preparation of documents necessary for the accounting agency
    (invoices, contracts, etc.).

  • Sending invoices for payment.

  • Assist other departments administratively on an as-needed basis (HR
    administration, finance, marketing, etc.).

  • Providing support in the process of private health insurance.

  • Providing support in the organization of corporate events (internal
    and external).

  • Organizing transportation for employees & colleagues from other
    locations.

  • Work closely with the Headquarters team.

  • Prepare reports on different events when needed.

  • Other duties as assigned.

Qualifications

  • Availability for on-site work at our Bucharest office between 10 AM–4 PM

  • The ability to create and manage successful processes and special
    projects

  • Exceptional organizational skills and attention to detail

  • Strong organizational and planning skills in a fast-paced environment

  • Knowledge of supplies, equipment, and/or services ordering and
    inventory control

  • Proficiency in MS Office

Would be a plus

  • Previous experience in IT company
